Summary

The XXI International AIDS Conference (AIDS 2016) in Durban, South Africa, marked a monumental occasion the global health calendar, drawing attention to the ongoing fight against HIV/AIDS. This event, distinguished as the world's largest meeting on a single health issue, spotlighted the global endeavour against HIV/AIDS. Our involvement as the appointed infrastructure and branding supplier was critical to the conference's triumph, accommodating around 18,000 attendees from diverse global regions. This case study narrates our journey, the challenges surmounted, and the fruitful outcomes of our endeavours. 

Event Overview

AIDS 2016, orchestrated by the International AIDS Society from July 18-22, was a milestone event aimed at propelling the fight against HIV/AIDS under the theme "Access Equity Rights Now". The conference not only facilitated discussions among scientists, policymakers, and activists but also featured high-profile speakers and attendees, thus underscoring a unified commitment towards the cause. 

The Challenge

The magnitude of organizing the world's largest gathering on a single health issue brought forth significant logistical challenges. Our responsibility was to oversee the entire infrastructure needs of the Durban ICC/DEC complex, ensuring flawless event execution across various thematic areas including registration, the Global Village, and both indoor and outdoor exhibits, totaling 11,000 sqm.

Our Role and Responsibilities

As the official service provider, Expo Solutions' scope of work included: 

• Comprehensive Project Management: Overseeing logistics and execution for the conference's extensive requirements.

• Infrastructure and Branding: Setting up all necessary infrastructure, including marquees, temporary structures, and venue branding.

• Exhibitor and Venue Liaison: Facilitating coordination with local and international exhibitors, alongside managing communications with the venue and third parties.

• Design and Construction: Creating individual stands and ensuring the provision of general services such as carpets, electrical setups, and shell schemes.

Achievements

Our unwavering dedication and professionalism were pivotal in the triumphant delivery of AIDS 2016. Our adeptness at navigating the complexities of such a grand international event, meeting stringent deadlines, and addressing last-minute challenges, underscored our expertise in event management.
